Select View, Payees, Payee Details from the main menu, or click on the Payees button. That will display the payee list form . Click the new button on that form to add each new payee.
The end date is the employee's last day of work. An employee with an end date before the start of the current pay period will not be have a pay created for them when a new pay period is opened.
The occupation is printed on some statutory reports.
The hours per day is used by KwikPay to provide default hours when calculating leave taken and to calculate annual leave rates in some circumstances.
The pay point is just used to sort the payslips for printing.
The cost code is the employee's default cost centre. This can be over-ridden on a pay item basis in the pay calculation screen. Add new cost centres by selecting View, Set up, Cost Codes from the main menu.
You must select a pay group for the employee to be paid. Each pay group is processed separately in Kwik-Pay, pay period by pay period. You can have more than one pay group for each pay frequency.
The payee code is only required if you are going to import pay data from an external source.
The super member number is just used to identify the employee on the superannuation report (Australia only).
If the employee is subject to an individual contract, and you want Kwik-Pay to calculate pays based on a pay rate, you have to add either hourly rates or an annual salary to the pay rates list. Click the New button to add each rate. Each rate is effective from the date you enter. That is, the pay rate will be used in pay calculations for pay dates on or after the effective date entered for the rate.
The three hourly rates allow the employee to be paid different rates for different tasks. The normal hourly rate is rate 1. Rate 2 and 3 are only used when you add a pay item with a calcualtion type 'Hourly2' or 'Hourly3' to the pay calculation screen. Do not confuse these with overtime rates. Overtime rates are calculated using rate 1 multiplied by a factor (1.5 for time and a half, 2 for double time).
The net pay disbursement specifies how the remaining net pay for an employee is to be paid, cash, cheque, direct credit or whatever. For direct credit payment, a bank account as to be entered, but the reference is optional.
The advantage of using this sceeen is that you will not lose bank details for direct credited deductions if you delete the pay item from the employee's pay calculation. Also, you can enter here default units for pay items that are different from the employee's normal hours.
Set the medicare levy adjustment, dependant rebate, number of children, and HECS/SFSS according to their tax declaration.
The tax rate allows you to tax the employee at a specified rate when ordered to do so by the ATO. The % of normal tax will reduce the tax calculated by Kwik-Pay by the entered percentage.
