Tax Identity Number

If it is known this must be entered. It will be printed on all reports that notify this payee's details to the IRD. If you do not enter the Tax Identity Number, you are required by the IRD to deduct tax at the 'No Declaration' rate.

Tax Scale

The standard codes are supplied. A new employee will have a default tax code of 'Resident', but if you do not know the payee's Tax Identity Number, you should select 'No declaration'.

If you wish to make irregular payments to the employee, you may prefer to calculate tax using a method that spreads the PAYE more fairly for the employee. In this case, select a tax scale of 'No tax', and in the Pay Calculation screen add a PAYE deduction and enter the cash amount to be deducted as PAYE tax.

Tax Rate %

This will contain a value if you have received an order from the IRD for this employee or the employee has requested tax to be deducted at a higher rate than normal. A rate entered here will be applied to the total of the payee's taxable pay. It will over-ride the calculation specified by the payee's tax code.

Percent Tax Rate

The percent of normal tax on the Payee, Tax Conditions screen allows you to specify that a proportion of the calculated PAYE tax is to be deducted. The percentage rate can be above 100, if the employee wants to pay tax at a higher rate than normal.

Claim Marital Status Allowance

Tick this checkbox if the employee claims a Marital Status Allowance and wants to reduce their PAYE tax rather than claim a refund at the end of the tax year. The annual dollar amount of the Marital Status Allowance is stored in the Tax Factors table in Kwik-Pay (Select View, Setup, Tax, Tax Factors to view or edit). The total of all allowances is accumulated and then pro-rated to a pay period amount and then subtracted from the taxable pay before the PAYE tax is calculated.

Claim FNPF Allowance

Tick this checkbox if the employee claims an FNPF Allowance and wants to reduce their PAYE tax rather than claim a refund at the end of the tax year. The annual dollar amount of the FNPF Allowance is stored in the Tax Factors table in Kwik-Pay (Select View, Setup, Tax, Tax Factors to view or edit). The FNPF allowance is restricted to actual FNPF deduction, or 1/12 of the annual allowance each month which ever is lower. The total of all allowances is accumulated and then pro-rated to a pay period amount and then subtracted from the taxable pay before the PAYE tax is calculated.

Child Allowance Claimed

Enter the annual dollar amount of dependant child allowances claimed. The total of all allowances is accumulated and then pro-rated to a pay period amount and then subtracted from the taxable pay before the PAYE tax is calculated.

Other Allowances Claimed

Enter the annual dollar amount of all other allowances claimed, such as superannuation, insurance and elderly dependant. The total of all allowances is accumulated and then pro-rated to a pay period amount and then subtracted from the taxable pay before the PAYE tax is calculated.
