Payees are grouped together by a common pay frequency, company bank account and tax office. A pay group should be created where any of those items are different. For example, you may have two groups of weekly paid employee, with some paid from one company bank account and other paid from a different account. In most cases it is sufficient to create a separate pay group for each pay frequency that you wish to pay employees.

Pay Frequency

The system will handle pay frequencies of Daily, Weekly, Fortnightly, Monthly, Twice Monthly, 3 Weekly and 4 Weekly. Once set it should not be changed, as it affects the pay calculation process. The system will use this to calculate the next period date, number of weeks worked and various other items.

Periods per Year

This should correspond to the pay frequency, in that it would normally be 12 for monthly payrolls, 24 for bi-monthly, 26 for fortnightly or 52 for weekly. However, you can set it to 53 or 27 when required.

The number of periods per year are used to calculate one period's salary to pay.

Pay Date

The pay date is displayed on each of the screens to remind you which pay period you are currently processing.

NOTE: dates are validated according to the Windows international settings. If your PC has the country set to United States, the date should be entered in the format mm/dd/yy.

Bank details (Australia only)

The account details are only required if any of the net pay is to be direct credited. Leave blank if the all net pay is paid by cheque or in cash. The account number is entered in two parts; first the six digit bank state branch number; then up to 15 digits account number.

The User Name, Description, Bank Abbreviation and User Number are all required if an electronic file of deposits is to be created. The EFT directory is the name of a directory containing your bank's software, or it can be A: if you are going to create the deposits directly on diskette.

Tax office

The tax office is the one which issued your group certificates.

Group number

The ATO Group Number is the group number allocated to your company by the Taxation Office.

Payment Status

This is the frequency you have to make payments of tax instalments to the Tax Office. It is normally, Bi-monthly, Monthly or Quarterly depending on the number of employees you pay. Your payment status is shown on page one of your Group Employer's Payment Book and Guide.

Signatory

Enter here the name that will be printed on payment summaries. The ATO accepts payment summaries printed with the name of the person so you do not have to manually sign a large number of pages.

Bank details (Fiji, New Zealand and Papua New Guinea)

The bank details are required if any of the net pays are direct credited. You will need to enter the bank account number of the company bank account to be debited with the pays for this pay group.

If you are creating a direct credit file of transactions to pass to your bank, the bank may require a 'Payer Code' to identify the transactions. Please consult your banks's file import documentation.

The MTS directory is the name of a directory containing your bank's software, or it can be A: if you are going to create the deposits directly on diskette.

Bank details (United Kingdom only)

The bank details are required if any of the net pays are direct credited. You will need to enter the bank sort code and account number of the company bank account to be debited with the pays for this pay group.

If you are creating a direct credit file of transactions to pass to your bank, and the bank requires a BACS file format including a header and trailer, you will also need to enter your BACS customer number and reference.

The BACS directory is the name of a directory containing your bank's software, or it can be A: if you are going to create the deposits directly on diskette.

Pay Calculation Warnings

If you enter an amount into either the 'gross pay exceeds' or 'net pay exceeds' fields, a warning will be recorded in the pay calcualtion log when a new period is opened and an employee's gross pay or net pay exceeds the amount specified. If an employee's pay exceeds the warning amount whilst the pay is being updated in the calculate pay screen, a warning message will be displayed.

If you delete the warnings amounts or set them to zero, no warnings will be displayed.
