Company Details
Your company's name and address is required to print any reports for the ATO.
Payroll Detrails
Password
If you enter a password in the Set up, Payroll screen, you will be prompted for that password the next time to enter the system.
The password screen will allow you up to three attempts to enter the password before it exits back to Windows.
Tax Year Start
Select the first month of the tax year. This will default to July.
Tax Agency
The name of the tax agency will default to 'Australian Tax Office'.
Public Holiday Pay Item
If a pay item is selected here, and an employee has the 'Automatically generate public holiday' check box set in the employee, leave details screen, and the current pay period includes public holidays, the pay item will be added to the employee's pay, with the number of units set to the number of public holiday days multiplied by the employee's normal hours per day.
Note that when an employee has the 'Automatically generate public holiday' check box set, and a public holiday falls in the pay period, the public holiday pay item cannot be deleted because it is added automatically to the employee's pay.
Rounding Cash Pay
This is the amount to which the cash pay is to be rounded if the round cash pay option is set on. The amount can be any figure you wish. If it is set to 5.00, for example, then cash pays would be rounded to the next higher $5.00.
In the next pay period, the amount which was added onto the payee's net pay when rounding the previous pay period is deducted from the net pay before calculating the rounding for the new pay period.
Note that if you wish to print the Coinage Analysis report, then you should enter cash denominations down to the Rounding Amount.
Rounding Cheques
This is the amount to which the cash pay is to be rounded if the round cash pay option is set on. The amount can be any figure you wish.
If it is set to 5.00, for example, then cash pays would be rounded to the next higher $5.00.
Rounding To Tax
If this is checked, the amount by which net pay is rounded for cash or caheque pays is added to the amount of tax deducted, instead of being carried forward to the next pay period.
Leave Year End Date
If all employees are to have a common leave year, enter the last day of the leave year. Leave blank if each employee is to have a leave year anniversary date based on their start date.
Daily Pay Calculation
By default, all pay calculations are entered as pay period totals. When the number of normal pay hours are entered, the number of hours is the total worked in the pay period. However, if this check box is checked, the pay items can be entered on a daily basis, with the number of hours being the hours worked on a specific day. For daily pay calculations, a start and end date can be entered in the pay calculation pay item form, whilst for normal operation, a start and end date can only be entered for leave pay items.
When Daily Pay Calculation is enabled, the effective date used to calculate pay rates is the start date entered in the pay calculation pay item entry form rather than the pay date.
Cash Denominations
These are the bank notes and coins that the Coinage Analysis will use to calculate the numbers of bank notes and coins required for each cash pay. If you break down your cash pays into $100, $50, $20, $10, $5 notes, you'd just enter 100.00, 50.00, 20.00, 10.00 and 5.00 in the first 5 fields.
You must ensure that you enter the cash pay Rounding Amount, but there's no need to enter those bank notes or coins less than the Rounding Amount.
Tax Details
These options affect the tax calculations and reporting. The options vary by country except for the following ones that are common to several countries:
Signatory
This is the name of the person responsible for signing employee tax certificates. In most cases, a printed name is acceptable for computer generated tax certificates.
Tax Year First Month
This should normally be left as the default value for the country selected when the payroll was created, but there are circumstances where a Kwik-Pay does not directly support the statutory requirements of a country but does support the requirements of a similar country. For example, a Cook Islands payroll can use New Zealand tax calculations (with the tax rates set to Cook Islands rates), even though the Cook Islands tax year is January to December and the New Zealand one is April to March.
Tax Agency
Similarly, the tax agency name, that is printed on some reports, can be over-ridden if is Kwik-Pay is being used to process pays in a country different from the one selected when the payroll was created.
